Case study: Event Genius delivers ticketing and access control for the return of Time Warp

The last weekend of October saw Event Genius help enable the return of iconic festival Time Warp, working alongside Cosmopop as their primary and exclusive ticketing partner. It marked the first Time Warp event since before the pandemic, albeit in a slightly different capacity to the flagship festival that has taken place every year at least once since 1994 and since 2000 every April at the Maimarkthalle Mannheim.

Time Warp 2021 “Two Days | One Stage” welcomed over 7,000 techno fans to Mannheim’s Markthalle venue on Friday 29th and Saturday 30th October. Due to current COVID-19 restrictions which remain in place in Germany, the event welcomed a lesser number than the usual 20,000 people who flock to the legendary event each year. There was still a similarly prestigious amount of talent on show however, with Sven Väth, Solomun, Dixon, Joseph Capriati, Seth Troxler, Tale Of Us and more taking to the stage for a truly impressive return.

Crucially, the two-day techno festival also marked the first event Event Genius has delivered alongside Cosmopop since joining forces in January 2021, due to restrictions throughout the pandemic. We’ve been eager to get on-site with our new partners and their dedicated fan base since the start of the year, and we’re thrilled that the wait is finally over.

Cosmopop required a flexible and robust ticketing system to handle online ticket, travel and accommodation sales and an access control solution to help manage the flow of guests into the venue via two entry points.

Being an indoor event, only those who could submit proof of full vaccination or recovery from COVID-19 were allowed to enter the venue (known as the ‘2G model’). Time Warp 2021 “Two Days | One Stage” was mask-free for festival-goers after the point of entry, so stringent data collection for all ticket holders was fundamental to allow for track and trace procedures to occur if needed.

egTicketing
As the exclusive ticketing partner, we handled all of the event’s ticket sales and rolled out our new Ticket Management Portal (TMP), ensuring Time Warp were able to collect customer data for all attendees as part of a post-purchase ticket validation process, and not just lead ticket buyers.

Free local transportation tickets were also delivered with every Time Warp ticket thanks to our integration with German public transport technology company, Tickeos.

All tickets including festival tickets, transportation tickets and hotel accommodation were dispatched via our secure Festicket mobile app, allowing for a seamless gate entry experience for fans.

egCheckout
Utilising our innovative Pay with friends feature allowed Time Warp fans to easily split the cost of their ticket, travel and accommodation orders with their friends, whilst multi-currency and multi-lingual event listings attracted and facilitated a native experience for all international customers.  

egAccess
We sent two of our onsite event specialists to Time Warp armed with 60 of our industry-leading Event Genius Pro hardware devices all loaded with the brand new egAccess Lite scanning app. Over the course of the event we scanned over 7000 tickets and vaccination certificates across two different entry points.

egMarketing
With multiple promotional articles and a successful pre-awareness campaign we were able to leverage our Festicket consumer facing website and app to help generate demand in the lead up to Time Warp’s anticipated return. Automated email campaigns were used to target relevant audiences and then to boost revenues by upselling extras such as event lockers to ticket holders.

egTravel
Our travel experts worked with local operators to negotiate deals for fans on five hotel options which were available to book as part of one central checkout process, including festival and travel tickets.

It was amazing to see Cosmopop return to delivering stunning events for their fans.

We loved being on-site to oversee operations, train Time Warp staff how to use our technology and finally be able to deliver the type of experience we were so excited about when we joined forces with Cosmopop at the start of the year.
